What Are OCR and Data Capture?
Optical Character Recognition (OCR) and Data Capture is a technology that enables you to convert different types of documents, such as scanned paper documents, PDF files or images captured by a digital camera, into editable and searchable data. So essentially, any document coming into the business can be scanned or sent straight to a dedicated email address and the data captured and processed.
How Does Data Capture Help With Accounts Payable?
Accounts Payable is a great example of how automated Data Capture can help a business. The solution will receive invoices from suppliers, automatically analyse them, and extract all key information automatically to avoid all data entry and store. Smart workflows can then be added to set rules around what happens once the document is scanned and this where it gets even more impressive. The workflows can make decisions based on the size of the invoice, the supplier that sent it, the payment terms, and who needs to sign off if a confirmation is required. So for a small invoice from a regular supplier for example, the solution can analyse the incoming document, extract all data, approve the payment, update the accounting software and store the original document scan without any human interaction.
