Send Webforms Straight from the Job Card

Now you can manually or automatically send Webforms such as Agreements from Jobs.

 

What do we mean by Webforms?

A Webform is a form that people outside of your business can complete from their computer or phone and is the perfect tool for forms like Agreements, Contracts, Variations and Surveys. The customer can open the form, add information as required and sign on the screen if needed.

 

What’s new here?

Although Formitize has had the Webforms add-on for some time, they were in the Forms module and not naturally part of the Job process. So, the new feature is that Webforms can now be added to, and sent from the Job Card.

We have added a new feature that enables Webforms for a job to be automatically created as part of the job and emailed to the client for signing! You can then track the status of the form so you can very easily see when it has been signed and returned - all from within the Job Card.

OK, let’s dig deeper to understand all the benefits:

1. Attach and send WebForms from a Job

Webforms is a powerful add-on that adds so much capability to your job management workflow.. 

So, if your job process includes the customer signing an agreement before the job starts, you can now make the agreement a Webform and then attach the Webform to the job. In the same way, if you need an acknowledgement or sign-off or a survey completed at the end of the job, this can now be automatically achieved.

If attached to a Job, all of the relevant Job Details will automatically populate the Webform like Name, Address, Date, Job Type and Job Number to save re-entering this information.

Pre-populating information in Webforms

As with all Job linked Forms, all fields in the form that have corresponding Job Detail fields will be automatically populated with those Job Details.

You can then pre-populate additional fields in the Webform if you need to before emailing it to your customer.

The email your client receives will automatically include a button to click on to open the webform and an alternate URL address they can use instead as shown below:

Now, Let’s Save even more time by sending the Job Webforms automatically!

If you add the Webform to your Job Type Template, then whenever you create a job using that Job Template, the Agreement can be automatically added to the Job and can even be automatically sent to your customer as soon as the Job is created.

 

Wait, what?? Let’s go through that again….

Just set up your Job Type Template so that whenever you create a new Job, the associated Webform related to that Job will be automatically sent to your customer. This is perfect for forms such as Agreements or Pre-Job Questionnaires.

They will receive the email, open the link to the Web form, complete the Web form and submit it all from their phone, tablet or desktop computer.

You can receive a notification that the Web Form has been returned and when viewing the Job, you will see that the Web Form icon is green for Submitted!

In the same way, when the Job Status = Complete, another Web Form can be automatically sent to the client as a Survey, or Requesting for Testimonial or as a Completion Acknowledgement.
