Heads Up! Smart Tables are Coming Soon. Here’s what you need to know.

We’re making data tables “Smart Tables”, and you’ll love them!

Data tables are used extensively throughout the web Management Portal to show lists of data or information such as “View Jobs” or “View Submitted Forms”.

These Tables are really useful because they show a lot of information on one page but, up until now, the tables haven’t been very flexible.

This is all about to change!

The Advantages of Smart Tables

Our new Smart Tables enable you to:

Be able to access a lot more information than you could before
Rearrange the data columns into your preferred order
Change the width of the columns to suit you
Hide or show different columns of information to see precisely what you want
Save different “Views” of the data
Share your Views with other Group members
New selected Actions process much clearer
Helpful pre-selected Date options ready to use
Able to add unlimited filters to really narrow down on what you see
Able to “pin” or freeze columns on the left or right to make scrolling better.

Flexible Columns

You can now customise the Columns to show the information you would like to see in your Smart Tables by toggling the items on and off. You can then re-arrange columns in the order you would prefer them by simply drag and dropping them.

Column Options including “Pin”

Once you have selected the columns and column orders, you can also “ Pin” or freeze specific columns so they do not move while you scroll other columns.

There are a range of other options available to you by selecting the “3 dot Menu” for every column as shown below:

Date

We have added a range of standard Date filters as shown in the image below. You can further customise a Date Range using the Filters option.

Multiple Filters

By simply clicking on the “Filter” button, you can also add multiple filters to get even more precise information displayed such as:

Unconfirmed Jobs that are due to start in the next 5 Days
The Invoice value of Completed Jobs done by Steve in the last 14 days.

What are “Views”?

There is so much data available, and you don't necessarily want to see all of the data all of the time. So you can create different “Views” of the data with just a selection of the data, in the order that you want it.

“Views” enable you to save Smart Table layouts that you have created to view again easily just like a template layout. You can see in the example below, Views have been saved for “Job Commission”, “Job Invoices” and “Jobs with Unpaid Invoices”.

When creating a View, you can even share the View with other team members based on their User Group as shown below:

There is a really helpful reminder letting you know what View you are using, in case you come back to the page and forget that you had selected a particular View. The example below shows that the “Job Commission View” has been selected:

In the same way, if you have applied filters to your Table, a helpful indicator will show you the number of Filters that have been applied as a reminder that the Filters are in place (as shown below):

Actions

Smart Table actions are now far more intuitive. When you select an item checkbox, a really helpful option box appears at the bottom of the screen (as shown below ) with all of your options clearly displayed and how many items you have selected.

Are there any changes I need to be aware of?

The filters are no longer at the top of the table, these are replaced with “Views”
There are some minor design differences such as Job Confirmed has been replaced with a green tick or a red cross,
We will initially release the Smart Tables for Jobs and Submitted Forms as these are the high impact tables, but we will be rolling the Smart Tables out across all of the modules over time.
You will receive a notification in your Formitize Dashboard as soon as the Smart Tables go live.
